Building an Audiology Patient Recall Program

Practical patient access guidance for audiology and medical practices.

A patient recall program helps an audiology practice follow up with patients who may be due for an evaluation, hearing aid service, or other practice-recommended visit. The goal is to help patients take the next step—not to overwhelm them with repeated calls.

Define the reason for outreach

Start with specific, practice-approved categories such as annual hearing evaluations or hearing aid checkups. Confirm that the timing and content match clinical guidance and your office's policies.

Review contact preferences and permissions

Before launching an outbound campaign, verify that your practice has an appropriate basis to contact each patient, that numbers and preferences are current, and that relevant privacy and calling rules have been considered. Honor opt-outs and do-not-call requests where applicable.

Use a helpful, low-pressure script

Introduce the practice, explain the reason for calling in general terms, and offer to help schedule a visit. Avoid discussing sensitive health details in voicemail or with someone other than the intended patient.

Plan for real scheduling capacity

Coordinate recall outreach with appointment availability. A successful campaign should create a smooth booking experience, not a backlog of callbacks.

Track outcomes without overcomplicating reporting

Useful metrics include contacts attempted, patients reached, appointments booked, requested callbacks, and declined outreach. Review the results with the practice to refine the process.

Support both English and Spanish

Where language preference is documented, bilingual communication can help patients understand why the practice is reaching out and what appointment options are available.
